The Project Manager

The Project Manager of the New York office is a curious and inquisitive learner; someone with a project-management brain, a knowledge of integrated advertising tactics and a desire to facilitate great creative work. As a result, they wear many hats.

They have 2+ years of experience as a project manager or similar role in an advertising agency or similar industry. They are strong leaders and creative problem solvers whose project management expertise allows them to manage all aspects of the project life cycle from concept to delivery moving projects through creative teams and internal reviewers. They will identify the need or opportunity to involve other internal agency departments at the optimal time including finance, creative management, brand management/strategy, social and production.  

They are the internal hub of communication, the creatives’ rock and the brand manager’s best friend: ensure everyone is clear on assignments, workload is manageable, calendars make sense, hours are being billed to the correct job, a general solver-of-problems.

They maintain an understanding of a project’s ever-evolving needs, while keeping it on time and of the highest quality. They are a strong financial supporter who is committed to tracking projects, hours, running creative burn reports and raising red flags as needed.


They should be interested in process, operations, tools and have a desire to continue finding and developing improvement and efficiencies in the system.

Key Areas of Responsibility:

Responsibilities include, but are not limited to:

  • Work with Brand Management and Creative Operations on matters of scope and staffing; field project start form to develop project plan, including securing creative resources/allocations
  • Stay on top of schedules and manage across various projects; work with brand management, creative management and production to develop detailed creative development schedule allowing proper time for all project stages  
  • Schedule and attend all internal meetings during creative development (briefings, creative reviews, full team reviews); own notes and identify feedback and next steps
  • Ensure all designated creative approvers sign off on work before it goes to clients; facilitate Exec Creative Director reviews
  • Own project reporting tools to keep creative operations informed on project details, creative allocation/bandwidth and resourcing needs (including freelance and vendors)
  • Own daily or weekly hotlist and share with entire internal team (including production and creative management) so everyone is clear on upcoming key dates and to-dos, as well as upcoming team out-of-office
  • Act as liaison between departments, ensuring information and documents are routed to the appropriate people
  • Maintain up-to-date server organization/ asset management during creative development
  • Track and review financial reports to ensure we’re tracking to budget, call out any red flags to brand management so they can escalate any issues
  • Production supporter: aide in filling out the Production Intake Form / helping to create production schedules related to creative development time, ensure creatives are able to meet production schedule requirements

Qualifications:

  • Minimum of 2 years of Project Management (or similar) experience
  • Bachelors degree or equivalent experience in a related field required.

  • Be a team player, ability to effectively play nice with others; be a strong partner to the Alaska team
  • Ability to lead one or more accounts; solid communication and decision-making skills
  • Exceptional organizational skills; able to juggle multiple projects as well as disparate information
  • Comfort in working autonomously, while also keeping creative management abreast of project status
  • Agency experience preferred; experience managing print, video and social projects - highly preferred
  • Curious and inquisitive: someone that wants to roll up their sleeves and build something new
  • Able to work under tight deadlines and handle multiple tasks in a stressful environment
