AP Specialist/Finance Coordinator will work closely with the Controller and other members of the Finance team to ensure accurate processing and analyzing of the accounting information. As a member of the Finance team, Finance Manager/AP Specialist participates in and supports team workflow and initiatives to help ensure quality of information and continuous improvement of the function overall.




Accounts Payable:

  • Responsible for creating the new vendors in the accounting system and ensuring the adequate requirement and verification is met.
  • Record the Accounts payable invoices and and validate the coding, purchase orders and project numbers.
  • Process employees expense reports and ensure the information is in compliance with the Agency and Clients’ travel and expense policy.
  • Reconciliation of the corporate credit cards and scan for any unusual activity.
  • Respond to vendor inquiries, external vendors, internal business partners and maintain the Accounts payable inbox.
  • Participate in the annual 1099 reporting process.
  • Maintain the Accounts payable ledger by reviewing the monthly AP reports and verify the vendors, payments and credits.
  • Process payments to vendors and to employees for expense reimbursement.
  • Assist the Controller in the daily banking requirements and ensure the accurate and timely processing of positive pay transactions
  • Analyze the accounts payable activities for trends and to identify inefficiencies
  • Maintain the accounts payable files


General Finance:

  • Travel system maintenance, support and training
  • Concur expense system maintenance, support and training
  • Supports Controller to ensure a clean and timely month end close and with year end review
  • Supports Controller with annual expense budgeting and forecasting activities
  • Support Controller with special projects and workflow process improvements



  • College Degree, BA/BS in Business with an emphasis in Accounting
  • 1-3 years prior experience in the accounts payable / general accounting area
  • Experience working in a professional services firm is preferred
  • Must be PC proficient and able to thrive in a fast -pace setting
  • Experience with enterprise level accounting system
  • Must have strong experience with Microsoft Excel
  • Strong verbal and written communication skills
  • Strong interpersonal skills required
  • Ability to multi-task, work under pressure and meet deadlines required
